Refund Policy

Introduction

The Cochrane Minor Soccer Club (CMSC) Board of Directors will use the policies outlined in this document as a guide for reasonable decision-making about issuing refunds for program participants.

Program fees cannot be transferred from one person to another.

This policy does not apply to subsidized registration.

Program cancellation

The CMSC reserves the right to cancel a program due to insufficient enrollment or insufficient volunteers.

If the cancellation of a program takes place before the start of the program due to insufficient enrollment or insufficient volunteers, a full refund will be issued to enrolled program participants, and any administrative fees will be waived. If the CMSC must cancel a program after its start date, refunds will be issued in accordance with the refund amounts outlined in this policy, however, administrative fees will be waived.

If the program is shut down or suspended for public health reasons, or by governing bodies, the CMSC cannot guarantee a refund.

Refunds will not be issued for individual matches, practices, tournaments, or other events that are cancelled due to severe weather or field conditions, as outlined in CMSC’s Severe Weather Policy.

Refund Requests

Refund requests must be submitted via email to cochraneminorsoccerclub@gmail.com and must include the full name of the participant and of the parent or guardian, if applicable. If the refund is requested by someone other than the original payee, CMSC officials will confirm the request with the original payee before processing the request.

Please note that neither non-attendance nor verbal, text, or social media notification to a CMSC official constitute a refund request.

Refund Amounts

Refund amounts are calculated based on the date the refund request is submitted to the CMSC, regardless of the date the participant stopped attending the program.

If a refund is requested before the beginning of the program, a full refund will be issued, less a $25 administrative fee.

If a refund is requested within the first 14 days of a program’s start date, a 50 per cent refund will be issued, provided the player returns all uniform components in excellent condition. Should CMSC officials judge that a uniform is not in excellent condition, or should the uniform not be returned, a refund will not be issued.

Refunds will not be granted for programs that have been running for more than 14 days.

Processing

Refunds will be issued by cheque to the original payee. It may take up to four weeks for the processing of a refund.
